1 Introduction

Welcome to Pola Tours. This website, www.polatours.com, is owned and operated by Pola Tours (Pvt) Ltd. The terms "we," "us," and "our" refer to Pola Tours. The term "you" refers to the customer, client, or user visiting our website, booking a tour through us, or otherwise using our services.

By accessing or using our website and services, you agree to be bound by these Terms and Conditions. If you do not agree to any part of these terms, you must not use our website or services.

2 Booking & Payment

  • Contract: A binding contract is formed between you and Pola Tours once we receive your booking application, deposit, and issue a confirmation invoice. This contract is subject to these Terms and Conditions.
  • Reservation: Early reservations are highly recommended. A deposit of 25% of the total tour price is required at the time of booking to secure your reservation.
  • Final Payment: The final balance of your tour price is due no later than 45 days before the scheduled tour departure date. If the booking is made within 45 days of the departure date, the full amount is due at the time of booking.
  • Payment Methods: We accept payments via credit/debit card, bank transfer, PayPal, Payoneer. All bank charges for transfers must be borne by the customer.
  • Pricing: All prices are as listed on our website and are subject to change without prior notice. However, any booking made and confirmed before a price change will honor the original price. Prices are quoted in USD unless otherwise stated.

3 Cancellations & Refunds

  • Cancellation by the Customer: Any cancellation request must be sent to us in writing (email or postal mail) and will not take effect until received by us. The cancellation charges are as follows:
    • • More than 60 days before departure: Full refund minus a 10% processing fee.
    • • 31-60 days before departure: 50% of the total tour price.
    • • 15-30 days before departure: 75% of the total tour price.
    • • Less than 14 days before departure or a No-Show: No refund.
  • Post-Commencement Cancellations: No refund is available to you for cancellations after the commencement of Your Travel Arrangements or on any services not used for any reason.
  • Cancellation by Pola Tours: While we rarely cancel tours, we reserve the right to do so due to unforeseen circumstances, such as extreme weather, natural disasters, political instability, or other "force majeure" events. In such cases, we will offer you the choice of:
    • • A full refund of all payments made.
    • • A rescheduled tour at a later date.
    • • An alternative tour of a similar value.
    We are not responsible for any additional costs incurred by you, such as non-refundable flights or other travel arrangements.

4 Changes to Bookings

  • Changes by the Customer: Requests to change the date or details of a confirmed tour will be accommodated if possible and may incur an amendment fee of $50 per change plus any additional costs charged by third-party suppliers (e.g., hotels, airlines).
  • Changes by Pola Tours: We reserve the right to make minor adjustments to the itinerary, accommodation, or travel arrangements if necessary. We will inform you of any significant changes as soon as possible.

5 Liability & Responsibility

  • Limitation of Liability: Pola Tours acts only as an agent for the various service providers (e.g., hotels, transportation companies, guides) and is not liable for any personal injury, death, property damage, or other loss, accident, delay, or irregularity arising from or in connection with the services of these suppliers.
  • Customer Responsibility: You are responsible for ensuring all travel documents, including passports, visas, and health certificates, are in order. You are also responsible for your personal safety, health, and belongings throughout the tour. We highly recommend you consult with your physician to confirm your fitness for travel and participation in tour activities.
  • Force Majeure: We are not liable for any failure or delay in performing our obligations under these terms if such failure or delay is due to events beyond our reasonable control, including but not limited to, acts of God, war, terrorism, civil unrest, labor strikes, or natural disasters.
  • Insurance: We strongly recommend that all travelers purchase comprehensive travel insurance that covers trip cancellation, medical expenses, baggage loss, and other unforeseen events.

6 User Conduct & Website Use

  • You agree to use our website and services only for legitimate, non-commercial purposes.
  • You are financially responsible for all uses of this website by you. All information you provide must be true and accurate.
  • You agree not to use this website to make any speculative, false, or fraudulent reservations.
  • You will not post or transmit any unlawful, threatening, defamatory, or offensive material on our website. We reserve the right to moderate and remove any such content.

7 Intellectual Property

All content on this website, including text, images, logos, and designs, is the property of Pola Tours and is protected by copyright and other intellectual property laws. You may not reproduce, distribute, or use any content from this website for commercial purposes without our express written permission.
